You can create custom calendar views. You may wish to only see confirmed events, events with a balance due, only the functions for a certain event, certain event or function information, color code your calendar — or any combination of those! Looking for some inspiration to get you started? We've got loads of samples below.
For step-by-step instructions to create these views, please see Create a Custom Calendar View.
This article includes:
- Confirmed Only View
- Tenant / Resident View
- Inactive / Canceled View
- Event Type View
- Avails View
- Operations View
- Shareable Calendar
- Marketing Calendar
Confirmed Only View
This view shows only confirmed events for view only or other users who should not see holds. It is good for Performing Arts Centers as well as Arenas.
Filter Options
- Event Status: Confirmed events only
- Misc: Show Internal Events, Show Blackouts, Show Announce Dates / On Sales Dates, Show Notes
Display Options
- Select the information you want to display, such as event name, time, rooms, functions, and so on.
- This calendar is color-coded by status with different colors for blackout and internal.
Tenant / Resident View
This view is useful for our arena venues to see tenant events, showing the account, event status, and function time for tip-off/puck drop (for sports teams) or curtain or intermission (for resident orchestras and other arts tenants).
Filter Options
- Filter by how you designate the tenant. This could be business classification, account, event type, or genre.
Inactive / Canceled View
Most venues would benefit from an inactive events calendar. Inactive events include both canceled and events marked as lost. In the case of an arena, this view could show released holds.
Filter Options
- Event Status: Inactive
Event Type View
This view would be helpful for teams that prefer to see a breakdown of events based on the teams that are supporting them, such as Food and Beverage events, Education events, and Marketing style events.
Display Options
- Color Code: Event Type
Avails View
This view is useful for venues that need to display event details that are not available in the Avails Calendar, such as event time.
Filter Options
- Event Status: Confirmed and Hold.
- Event Types: Choose all that you want to display on your avails.
- Genres: Choose all you want to display on your avails.
- Miscellaneous: Show Blackouts.
Display Options
- Info: The four typical display options are Time, Event Type, and Status. You can add any other information fields you would like to appear on your view.
- Generally, avails are color-coded by status. Our best practice for avails are:
-
- Confirmed: Red
- Holds: Yellow
- Blackouts: Black
But you can use whatever colors make sense for you. For your building, you can also use different colors for Hold 1's and Hold 2's. You can also color-code by genre or event type depending on your needs.
Operations View
This view is used to show event name, event time, key functions, usage, and event tags such as enhanced security - information which your Operations team would like immediate access to.
Filter Options
- Event Status: Confirmed and Hold
- Misc: Show Internal Events and Show Notes
Display Options
- Info: Event Name, Time, Event Type, Usage, Rooms, Estimated Attendance, Usage, Function Names
Shareable Calendar
This is useful for venues that sometimes want to share information with their third-party partners, such as security teams, resident companies, or outside caterers.
The filter and display options used will depend on the information you wish to share with your partner: you can filter to show only confirmed events or events with a certain tag or account, and you can select what event information to display. If you are sharing this calendar via iCal, only the information and events selected will appear in the feed. If they have access to the application, they could see additional event information based on the permissions in their role.
Marketing Calendar
This view gives the marketing team visibility to on-sale, announce, and pre-sales dates. On-sale, announce, and pre-sales dates are only available in Elite Premier.
Filter Options
- Misc: Show Announce Dates / On Sale Dates
Display Options
- The view shown has no items selected in the display options, but you could include additional information, such as applicable Event or Function Staff Assignments.
