Permissions needed: Highest Booking Capability that includes the event's status
If you have a client who is returning to your building, you may wish to copy their previous event rather than creating a new one. You could also create a template event, and copy it (rather than booking a new event) to give you a head start on building the event out.
When you copy an event, the date/time range and booked spaces will be copied and some other event details are copied by default. You may also choose to copy other event details if you wish: functions, instructions, item allocations, rental prices, discounts, economic impact, and notes. Please see the very bottom of this article for a tab-by-tab list of which event details are copied.
Series cannot be copied at this time.
You may copy an event from the event details page or from the summary slider on the calendar. In either place, click on the more_vert more info menu and select Copy Event.
- On the event details page:
- On the calendar summary slider:
Once you've accessed the Copy Event slider:
- Rename the new event. We recommend each event have a unique name - maybe include the the year in the name, for example "FizzCon 2023".
- Update the event type, if needed.
- Select which event details you would like to copy. Any details the event has will be automatically selected. If you don't wish to copy a certain detail, click the X on its chip to remove it. If the event doesn't have certain details, those options cannot be selected.
- In order to copy instructions and item allocations, you must copy functions as well.
- Any items which were removed from your inventory or any items in categories which were made inactive will not be copied.
- By default, the booked space descriptions on the copied event will match the descriptions on the original event.
- If the description on the original event's booked spaces is the event name or a generic description, check Override Booked Space Description. The description field will appear and will default to the name you entered in step one. Make any updates needed.
- If the descriptions have been customized to describe what is happening in each booked space and that information is relevant to the copied event, do not check this box.
- Update the start date of the event. The availability of each space will be updated as well (for more information about what the color of the status chips means, please see Conflict Checking).
- Once you have updated all information, click Save.
- Your event will be copied.
- If you are copying from the event details page, you will be directed to the new event's details page.
- If you are copying from the calendar, you will see a confirmation message. Your calendar will remain on the time frame you had been viewing.
As stated above, some event details will automatically be copied, and some will never be copied. Below is a list of the information on each tab of the event details page and whether or not it will be copied.
