The Momentus Elite / Tessitura integration allows you to push performances created in Elite to Tessitura and then to pull high-level information from Tessitura to Elite for each performance. While we outline using the integration in Tessitura Integration, managing work between two platforms can be a challenge. We've developed a workflow to facilitate communication at those points when work is handed off between departments.
This workflow uses event tags, staff assignments, task templates and depends on task notifications. For more information about these features see:
- When the event is ready to be exported to Tessitura, the event manager adds the Ready for Tessitura Export event tag to the event. The event manager can also create and assign a task to the person doing the import.
- If using a task template, create a task Ready for Tessitura Export with a dependent task Export to Tessitura assigned to the person or staff assignment responsible. When the event manager completes the Ready for Tessitura Export task, the dependent task will be created. If the assignee has task notifications turned on, they'll receive an email notification.
- The box office manager/ticketing manager either receives a push notification that events are ready (see task information above) or views the information in Elite. They can:
- Filter the calendar view to view events with the Ready for Tessitura Export tag.
- Filter the event list to view events with the Ready for Tessitura Export tag.
- The box office manager/ticketing manager performs the export. When complete, they remove the Ready for Tessitura Export tag and add the Tessitura Ticketed Event tag. If using tasks the box office manager/ticketing manager completes the task.
- The event happens! For post-event tasks, we recommend using a task template:
- In the task template, create a task named Import Data from Tessitura and assign it to the box office manager/ticketing manager. Add a dependent task Complete post-Event Report assigned to the event manager.
- The box office manager/ticketing manager is prompted via a task to import the event data into Elite from Tessitura. When the import is done, they complete the task. The dependent task will be created. If the assignee has task notifications turned on, they'll receive an email notification.
- The event manager, if they have task notifications turned on, will receive a notification that the Complete Post-Event Report task has been created and assigned to them. They can then do the report and complete the task.
The task template would look similar to this one. Be sure to use due dates that fit for your venue!
