Elite has a suite of features designed to take all the event details you've added and transform them into the format your operational teams need to ensure your events are successful. Depending on the teams, the information they need, how they want to see that information, and the work they are doing, certain features will be a better fit for you. This article will walk you through the various features.
The challenge for operational teams is to know what to do, when it needs to be done by, and to know that the information is accurate and up to date.
- Event Orders: Event Orders are good for inventory item-heavy documents, such as BEOs. These are created on the event details page using a document template that pulls in the items and instructions added to the event's functions. Event Orders can reflect a single function or an entire event. For examples of event orders, see the Insights Document Template Library. Pair event orders with the Operations Daily View to allow your operational teams to check their Elite on their device for any last-minute changes that were made after the event order was printed.
- Operations Daily View: Function details, inventory items, and instructions can be viewed in-app on the Operations Daily View. This view displays items and instructions for the day grouped by room and function, and filterable by department. This view will always have the latest information, and you can view red-lined versions to see what has been changed, when it was changed, and who changed it.
- Event Dashboard: A birds-eye view of your event, including status, event type, account and contacts, estimated and actual event attendance, and a Gantt chart to provide a visual representation of the event’s functions, with more to come! The Event Dashboard is part of the Operations Hub.
- Event Outlines: Event Outlines are used for text-heavy documents such as run sheets and production notes. These are created in the Operations Hub using a block-based editor. The editor includes data blocks that can pull in event information, a function schedule, and instructions from event-wide functions as well as blocks for text, images, and more. You are able to create your own event outline format, and save templates to apply to different types of events. For more about event outlines, see Event Outlines. Note that event outlines cannot include instructions on non-event wide functions or any inventory items.
- Jobs: Jobs are for operational delivery; they take the function's inventory items, instructions, and documents and turn them into jobs which can be claimed, worked, and completed. With their mobile-first design, they are easy for your team to complete using a tablet or phone. Since they are viewed and worked in the application, they will always have the latest information. Jobs are part of the Operations Hub, and Event Outlines can be attached to Jobs to give operational teams visibility into all event details. - Tasks: Tasks are simple "to-dos" that can be created for events and viewed on the event details page or the Tasks page. They are simpler "reminder" for users, with a name, due date, assignment, and description, ideal for event booking and management activity. Tasks are used by all teams in Elite.
