Jobs allow you to turn the details that have been added to functions into actionable jobs for your team. Jobs has two parts: Jobs Management and Jobs Fulfillment. This article is all about Jobs Fulfillment. For more about Jobs Management, see Jobs Management: Create and Manage Jobs. For more about Jobs and the Ops Hub in general, see Operations Hub Overview.
The Operations Hub is available as an add-on for Elite Premier users.
Jobs Fulfillment allows your operational teams to access jobs for their team with a mobile-first interface design. They can view jobs for their team, claim jobs, check items off as complete, update the job status, and view relevant function documents (when added to the job).
Navigate to Jobs Fulfillment
Jobs are viewed and claimed on the Jobs Fulfillment page. In the left navigation, select the arrow by Ops Hub and select Jobs Fulfillment.
View, Claim, and Work Jobs
On the Jobs Fulfillment page, jobs are grouped:
- My Jobs: Includes all jobs assigned to you.
- Open Jobs: Includes all jobs assigned to any organizational team you belong to.
You can search for a particular job, or filter jobs by due date, organizational team, status, event type, and function type. At this time, you aren't able to save filter selections.
Select a job to view details, claim, and work the job:
- Select Claim Job to claim the job and assign it to yourself.
- You cannot complete checklist items or update the job status until you have claimed the job.
- Users with Jobs (Operations Hub) > Edit permission can assign jobs to others on the Jobs Management page. See Jobs Management: Create and Manage Jobs.
- Work the job:
- Select an option to group checklist items by room, function, or instructions and items.
- To complete a checklist item, click or tap the box next to it. The progress bar at the top of the job updates.
- If the job status was To Do, it updates to In Progress automatically.
- If you un-complete a checklist item, the status does not revert to To Do.
- The job status does not update to Done automatically when all checklist items are complete; update the status manually once any remaining duties are complete.
- To download an attachment such as a room diagram, select Attachments. The View Attachments slider opens. Select an attachment to download it to your device.
- Add a comment about work completed, any blockers, and so on.
- Upload a photo with an optional description to show completed work or any issues you encounter.
- Maximum file size per photo is 30 MB.
- The name of the photo with a timestamp is added when the photo is uploaded; this can be edited afterwards.
- Once all work is complete, select the status chip and choose Done.
- If you are unable to work on or complete the job, update the status to Blocked. Add a comment detailing the block and what is needed to resolve it.
- Users with Jobs (Operations Hub) > Edit permission can also set statuses of New and Canceled. Jobs with these statuses do not display in Jobs Fulfillment.
- All fields except status are locked once a job is marked as Done or Canceled. To reopen a job, update the status to an active status.
- To return to Jobs Fulfillment, select Jobs Fulfillment in the breadcrumb menu at the top of the job.
Additional Actions
- To unassign the job so someone else can claim it, select Drop Job.
- Notice something different about the job? Go to the job's associated event's Event Dashboard and click Change Log in the upper right to see a list of changes made on that event's jobs.
- Users working jobs in Jobs Fulfillment (Jobs (Operations Hub) > View + User can work jobs or Jobs (Operations Hub) > Edit) can comment on and view comments on any job they can access for their organizational team. Users can only edit or remove their own comments; comments from other users are view-only. Comments have a 1,000-character limit.
Job Comments
- Comments are accessible to other users:
- Jobs (Operations Hub) > View users can view all comments on jobs. They cannot add or remove comments.
- Jobs (Operations Hub) > Edit can add comments, view all comments, and remove any comment, regardless of who added it. Users cannot edit comments added by other users.
- Comment activity, including adding, editing, and removing comments, is recorded in the Job Change Log on the event's Dashboard.
Job Photos
-
Photos are accessible to other users:
- Jobs (Operations Hub) > View users can view all photos on jobs. They cannot edit descriptions or remove comments.
- Jobs (Operations Hub) > Edit users can view all photos, edit photo names and descriptions, and remove any photo, regardless of who added it. They can only add photos if they have claimed the job.
- Photo upload and removal activity is now recorded in the Job Change Log, providing an audit trail of photo activity on a job.
- Photos uploaded to Jobs are also available on the event details page > Documents tab in a dedicated Job Photos sub-tab. This tab displays when the first photo is uploaded on an event. Photos are grouped by Job Number and are accessible to the broader event team for viewing and downloading.
- Photos in this tab are view/download only; they are added and removed through the job.
