In addition to adding inventory items (food, beverage, chairs, tables, etc) to your event, you are able to add instructions - notes or other information needed to successfully execute the event. There are several places you can put instructions:
- If instructions are specific to an item, they can be added as a note on the item (see Add Notes to Items).
- If instructions are for a certain category, such as instructions for serving meals, they can be added to the category on the appropriate function.
- If you have event-wide instructions, they can be added to an event-wide function.
- When adding detail in the instruction description field, either manually type the info or paste as plain text (Ctrl + Shift + V on PC or Cmd+Shift +V on Mac). When you copy from Microsoft Word, Google Docs, and other word processors, additional formatting is included which will impact the instruction when pulled into template documents.
- Make sure you don't have any hanging or trailing spaces or returns. These can cause extra lines to appear before or after your instruction description.
To add instructions to an event:
- On the event details page, go to the Detailing tab.
- On the Functions tab, click the name of the function to open its details slider.
- Click the + icon by the department that you'd like to add instructions to, or by General Instructions at the bottom.
- Click Add Instructions on the menu that appears.
- Select a Category from the drop down (you won't need to do this if you're adding general instructions).
- Add Start Date and Start Time, if you wish.
- Add a title (required).
- Add a description.
- If you'd like to add additional instructions to the same category, click Add instruction.
- Click the clear icon on the right to remove any extra instructions.
- When you've added all the instructions for this category, click Save. The instructions will be listed in the appropriate category, ordered by time.
