Scheduled Reports allow you to automate the creation and delivery of reports. With Scheduled Reports you can:
- Set up daily, weekly, or monthly recurring schedules.
- Set a date range to filter the report data.The only parameter you are able to set when scheduling a report is the date range. If there are other parameters on the report, there must be either a default set or a value hard coded into the report. Contact us if there is a report you wish to schedule that must be updated.
- Send to Elite users and contacts, or type in an ad-hoc email address.
- Be notified of any scheduled send failures.
When a scheduled report is sent, the reports are generated and stored securely online. Recipients receive an email with a link to the report; anyone with the link can access the report. Reports will be deleted after 14 days. If a recipient needs to access the report after 14 days, they should download the report.
To schedule a report, first you create the schedule, then you add the report or reports:
Create a Report Schedule
To create a report schedule:
- Click your name in the upper left and select Insights Admin. (You can also click the gear icon in the upper right on the reports or dashboard pages.)
- Select Reports in the left sidebar and go to the Reports Schedules tab.
- Click Create Report Schedule.
- Name the schedule.
- Enter when you would like the report sent:
- Daily or every X number of days:
- Send this report: Select Daily.
- At: Enter the time the report should be sent.
- Starting: Enter the date the report should first be sent.
- Every: Select the daily interval the report should be sent. To send the report every day, select 1 day.
- Ending: Select the date the report should stop being sent. This is a required field, but you can set it far in the future.
- Weekly, every X number of weeks, or multiple times a week:
- Send this report: Select Weekly.
- At: Enter the time the report should be sent.
- Starting: Enter the date the report should first be sent.
- Every: Select the weekly interval the report should be sent. To send the report every week, select 1 week.
- Days of week: Select which day or days the report should be sent.
- Ending: Select the date the report should stop being sent. This is a required field, but you can set it far in the future.
- Monthly or every X number of months:
- Send this report: Select Monthly.
- At: Enter the time the report should be sent.
- Starting: Enter the date the report should first be sent.
- Every: Select the monthly interval the report should be sent. To send the report every month, select 1 month.
- Select which day of the month the report should be sent:
- On: Select first, second, third, fourth, or last.
- Day: Select the day of the week, or to send on the first or last day of the month, select Day.
- Ending: Select the date the report should stop being sent. This is a required field, but you can set it far in the future.
- Daily or every X number of days:
- Click Next.
- Select recipients and format the delivery email:
- Recipients: Search for and select the recipients of the email. You can type email addresses in directly or search for existing contacts or contact groups.When the report is sent, no check is made whether a recipient has permission in Elite to view the data included in the report. Be sure to only send reports to people who should have access to the data.
- Email subject: Add a subject for the email.
- In the text editor, add email body text. Merge fields are not available.
- Recipients: Search for and select the recipients of the email. You can type email addresses in directly or search for existing contacts or contact groups.
- Click Next.
- Select recipients for the failure notice:
- In the Recipients field, search for and select the active users who should receive the notification that a scheduled report has failed. The failure message subject and body text cannot be customized. Failure emails cannot be sent to contacts or people who are not active users in Elite.
- In the Recipients field, search for and select the active users who should receive the notification that a scheduled report has failed.
- Click Finish and Create. The report schedule is created with a draft status. You can now add reports to the schedule.
Add Reports to a Schedule
To add reports to a schedule:
- Click the three dots by the report schedule and select Add Reports.
- Select the reports to include in the email.
- When a report is selected, the report card will expand and any parameters on the report will display. Add the date range which the report should be filtered by.The only parameter you are able to set when scheduling a report is the date range. If there are other parameters on the report, there must be either a default set or a value hard coded into the report. Contact us if there is a report you wish to schedule that must be updated.
- Once all reports have been selected and date ranges added, click Save and then Cancel to close the edit window. The report schedule's status updates to Inactive. Once the schedule is run on its start date, its status will update to Active.
